Manual Account Information for Learning Portal

What is a Manual Account?


A manual account is a temporary account created by the Learning Portal Administrator for users who are not members of International Medical University (IMU). This account is intended for external guests or visitors who are directly involved in** teaching and learning activities** and require temporary access to the Learning Portal.


The duration of access is determined by the duration of the related teaching or learning activity. Access requests must first be discussed with and approved by the respective **Programme Director **and Module Coordinator before the account can be created.


Users are not allowed to self-register or create manual accounts independently.



Why is a Manual Account Used?


Manual accounts are provided to allow approved external users to:

  • Log in to the Learning Portal
  • Access courses and selected learning materials
  • Participate in online learning activities and assessments
  • Support teaching, reviewing, marking, or learning-related activities
  • Enable monitoring of user activities within the Learning Portal



Who Should Use a Manual Account?


Manual accounts are intended for **external users **who require **temporary access **to the Learning Portal for official teaching and learning purposes. This may include:

  • External students
  • External lecturers, trainers, or facilitators
  • Guest participants
  • Content reviewers or assessors
  • Users invited to specific courses, modules, or training programmes



Process to Obtain a Manual Account


The Programme Director or Module Coordinator is responsible for verifying the legitimacy of the user and submitting the account request.


Account Request Process
  1. The Programme Director or Module Coordinator submits a request to the eLearning Helpdesk through the eTicketing system.
  2. The following information must be provided:
    • Full Name
    • Email Address
    • Module Link
    • Activity Link (if applicable)
    • Required Role Access (e.g. Student, Associate Lecturer, Content Reviewer, Marker)
  3. The request will be reviewed and approved by the Learning Portal Administrator.
  4. Once the account is created, the login credentials will be shared through the eTicket reply.
  5. The requester should guide the user on how to log in to the Learning Portal using the provided login guide.



Limitations and Restrictions of a Manual Account


Please note the following limitations and restrictions:

  • Users cannot create accounts independently
  • Account creation and activation are subject to administrator approval
  • Password resets may require administrator assistance
  • User access permissions are controlled by the Learning Portal Administrator
  • Certain courses, features, or activities may be restricted depending on the assigned role
  • Manual accounts are strictly for accessing the Learning Portal only
  • Manual account users **do not **have access to IMU internal infrastructure, systems, or services



Do’s and Don’ts for Learning Portal Users


Do’s


Users are expected to:

  • Use the Learning Portal strictly for teaching, learning, and educational purposes
  • Keep usernames and passwords secure and confidential
  • Log out after using shared or public devices
  • Follow instructions provided by the Programme Director, Module Coordinator, or Learning Portal Administrators
  • Report technical issues or suspicious activities immediately to Learning Portal Support
  • Complete assigned tasks, assessments, and activities within the specified deadlines
  • Comply with the IMU Code of Conduct



Don’ts

Users must not:

  • Share accounts or passwords with others
  • Access courses or materials without authorization
  • Upload harmful, offensive, inappropriate, or unauthorized content
  • Attempt to modify, disrupt, or damage the Learning Portal system
  • Use another person’s account
  • Distribute course materials without permission
  • Engage in** cheating, plagiarism, or academic misconduct**
  • Delete or remove online materials, activities, or system settings
  • Disclose confidential information such as **grades or assessment feedback **without approval from the Programme Director or Module Coordinator
  • Modify grades or feedback entered by other lecturers or markers
  • Reveal quiz or assessment answers to students before the assessment begins



User Responsibilities


Users are responsible for:

  • Maintaining the confidentiality of login credentials
  • Using the account only for authorized teaching and learning activities
  • Reporting login or access issues to the administrator promptly
  • Updating personal information when necessary
  • Following the Learning Portal User Manual
  • Adhering to the IMU Code of Conduct



Important Notice!


Sharing accounts with unauthorized individuals to access the Learning Portal is strictly prohibited. Any misuse of manual accounts may result in** immediate removal of access privileges** and potential blacklisting from future access requests.
